The ideal candidate will be dedicated, self-starting, and passionate about systems, processes, human resources, and financials. As a result, this person will be part of our mission to give small businesses a much deserved online presence as they support the Succeeding Small team and help fortify our infrastructure.

As second in command to the CEO, the ideal candidate will be a passionate and giving leader who works to create the best work environment possible for their team while collaborating and supporting their fellow leadership team members through systems, structure, administration, and financial reconciliation. The successful candidate will be able to utilize ClickUp and G-Suite to create optimized systems and processes that support the day-to-day tasks of our digital marketing team. They will be responsible for working with the other members of the leadership team to create, plan and manage the ongoing vision of Succeeding Small while implementing and managing our current infrastructure. They will work closely with the other creatives as well as the Succeeding Small Project Manager to execute the client’s vision through the creation of processes and systems that ensure the team has what they need to succeed.

Operations Strategy & Implementation:

  • Develop and implement operational strategies to enhance overall efficiency
  • Collaborate with leadership to align operational goals with the CEO’s vision
  • Implement systems and processes throughout our company and software for streamlined operations
  • Build and maintain systems in ClickUp (our project management software)

Process Optimization:

  • Analyze current processes and identify areas for improvement
  • Implement efficient and scalable operational procedures
  • Foster a culture of continuous improvement within the organization

Documentation and Reporting:

  • Maintain documentation for operational processes and procedures
  • Generate regular reports on operational performance and key metrics
  • Provide insights and recommendations based on data analysis

HR and Financials:

  • Oversee hiring, onboarding, and offboarding processes
  • Analyze financial data and prepare reports for decision-making
  • Manage HR-related tasks and support employees

Software Management:

  • Manage and optimize the use of software tools such as ClickUp, Toggl, Honeybook, Slack, Google Drive, Quickbooks, etc.
  • Ensure the team is trained and proficient in using relevant tools

Metrics, KPIs, and Goal Achievement:

  • Create and maintain company KPIs to track performance
  • Analyze metrics data to provide insights and drive improvements
  • Drive the company towards achieving its goals through effective operational management

Leadership & Team Collaboration:

  • Facilitate communication and collaboration among different departments
  • Manage and lead a remote team to ensure productivity and effectiveness
  • Provide guidance on operational processes and best practices
  • Facilitate meetings and ensure effective communication within the team
  • Manage and mentor a future operations assistant

CEO Partnership:

  • Implement the CEO’s vision through strategic planning and execution
  • Collaborate closely with the CEO to align operational strategies with the company’s goals
